What to collect before quoting a garment job
A consistent intake process helps production teams spot missing information before preparing a price.
Short answer: Record who the customer is, which brand the work is for, how each garment line will be supplied, the colour and size quantities, decoration method and placement, finishing, deadline and delivery details. Mark unknown details for confirmation instead of guessing.
Start with the people and the job
Keep the contracting customer separate from the end client brand. One print house may serve many brands, and a brand may work with more than one production partner. Give each request a project name and record who can approve the quote and proof.
Record the required date and the print house delivery destination when known. Ask for a different destination only when the customer is arranging a separate garment shipment or finished goods delivery.
Record each garment line on its own
A job can include shirts, hoodies and caps, with a different supplier or source for each. Do not flatten that into one garment choice. For every line, record:
- Source and ordering party for this line
- Supplier and exact product name or code, when known
- Fit, garment colour and variant details
- Quantity by size and colour
- Whether the garment is catalogue sourced, external or customer supplied
Account level supplier relationships can prefill the available options. The job still needs to identify which source applies to that order.
Describe decoration and finishing
- Decoration method for each garment line
- Artwork files and the version intended for this job
- Print or embroidery positions and dimensions
- Colour references and any limitations that need a physical or production check
- Inside neck, outside neck, hem or sleeve labels and other finishing
- Whether the customer needs a visual mockup or a separate production proof
Keep reusable business capabilities with the print house account. Store job quantities, placement and customer decisions on the job itself.
Before a quote is sent
- Check that every garment line has a complete size and colour quantity.
- Confirm whether garment cost is included, supplied by the customer or still unknown.
- Separate estimated items from verified supplier prices.
- List what is included in the quote and what remains to be confirmed.
- Prepare a proof for approval when required by the production method.
Make the next request easier
Save stable print house details such as business delivery address, available decoration methods and supplier relationships at account level. Save a client brand’s approved logo and recurring label preferences at brand level. Ask only for information that may change on the current job, while allowing the customer to override a remembered preference.
The existing preview supports local planning. Hosted customer accounts, notifications, live supplier pricing and order processing are not connected.
Common questions
Should garment source be saved to the brand profile?
Save supplier preferences as reusable defaults where useful, but confirm the source for each garment line on each job. A brand can use different suppliers or customer supplied garments across orders.
Should garment delivery be asked for on every line?
Use the known print house destination for production garments when that is the agreed route. Ask for a different destination only when the current order needs one.
Can a quote use an estimated supplier price?
A draft may contain a clearly labelled estimate if the business chooses, but it must not be presented as current supplier pricing. Verify price and availability with the relevant supplier before confirming the quote.
